As an Administrative Assistant, your main responsibility will be to conduct effective email outreach to clients and prospects, ensuring timely follow-ups on quotes and inquiries. You will play a crucial role in performing accurate data entry tasks and providing complete forms for permit applications. Additionally, your role may expand to include handling other specialized business services as needed, maintaining a high standard of work even under rigorous pressure, and consistently meeting set deadlines. Your meticulous attention to detail and ability to handle diverse tasks will be essential in supporting the success of our team.

Responsibilities

  • Conduct email outreach to clients and prospects, promptly following up on quotes and inquiries.
  • Maintain a systematic record of all email communications and responses.
  • Perform data entry tasks accurately, ensuring the integrity of the information entered.
  • Collaborate with team members to gather necessary information and documentation for permit applications.
  • Review and verify all forms and documents to be submitted to the building surveyor for demolition permits.
  • Address any discrepancies or issues in the permit application process promptly and efficiently.
  • Assist in organizing administrative tasks to support the smooth functioning of the office.
  • Uphold confidentiality and handle sensitive information with utmost discretion.
  • Communicate with stakeholders and staff members with empathy, compassion, and professionalism.
  • Any other task as directed by the management.

Qualifications

  • Atleast 1 – 2 years of experience in administrative roles, with a focus on email outreach and data entry.
  • Meticulous attention to detail and strong organizational skills.
  • Excellent written and verbal communication skills for effective email outreach.
  • Familiarity with permit application procedures, especially for demolition permits, is a plus.
  • Experience in bookkeeping or a basic understanding of bookkeeping principles is a plus.
  • Proficiency in data entry and record-keeping.
  • Ability to multitask and prioritize responsibilities effectively.
  • Strong work ethic and a proactive approach to problem-solving.
  • Ability to work both independently and as part of a team.
  • High level of reliability and accountability.
