The Admin Assistant for Strata Support will be providing the clients, both internal and external, level one support whilst undertaking a varied range of administration and other tasks.
Responsibilities
Managing electronic filing of documents
Management of the customer care inbox – dispersing emails to different designated departments to answer enquiries
Utilizing different software (i.e.: Outlook, Stratamax, Docmax and Ephesoft) for administrative tasks
Updating tenant and real estate agent’s information (name, address, contact information etc.) accordingly
Filing of documents (incoming mails and uploading into the correct platform)
Management of Strata roll including updates and new business (Management of personal data held in strata roll); In-charge of the change of ownership (Estate & Company title) as necessary
Produce and distribute all relevant certificates upon request
Database Management
Qualifications
At least 3 years of relevant work experience in an administrative role
High attention to detail and data entry accuracy
Excellent English communication skills in both verbal and written form
Very good understanding of interpreting and understanding numbers (payment ledgers)
Must be highly organized and proactive
Able to confidently speak up or ask questions
Must be detail-oriented, has good judgment and should be able to think strategically
Strong commitment to service and a flexible can-do attitude to respond to client and business needs
