Admissions Officer (Online University)

The Admissions Officer is responsible for managing the work flow to meet established deadlines, ensuring accuracy in learner files, as well as maintaining and updating business processes for the department. This position ensures that the University keeps learner files up to date using multiple data systems, including but not limited to CRM, Student Information Systems, data imaging systems, and online application systems. The individual will also be responsible for collecting and tracking admissions files and creating and coordinating communication among students regarding admission status. This position will serve as the primary university admissions application and enrollment processor focused on ensuring an enhanced learner experience for new and persisting learners the University.

Responsibilities

  • Receive and process admissions applications for all applicants by inputting and/or uploading, as well as maintaining data and files in internal systems.
  • Review, evaluate, and determine initial admission decision
  • Track students' admission status and coordinate correspondence for applicants and internal stakeholders regarding incomplete files, status, and confirmation letters for enrollment deferrals.
  • Perform quality control by verifying official documents and responding to standout inquirers regarding the admission application process and status.
  • Validate appropriate tuition fees based on established parameters.
  • Coordinate the "Intent to Enroll" process including creating and tracking enrollment forms and deposits, accompanied by the necessary reporting.
  • Troubleshoot errors with application processing and communicate those issues to appropriate parties.
  • Demonstrate highly technical skills regarding ability to navigate multiple database and software programs in an effort to troubleshoot issues for prospective students, applicants, previous students, and coworkers.
  • Critical thinking skills used to research and interpret data, policies, and processes.
  • Proactively connect with various departments while identifying areas of possible improvement or needs for clarity.
  • Respond to questions by email, video conferencing, and phone concerning the admissions process and provide information to correctly advise students of next steps in the enrollment process.
  • Act as liaison between various departments regarding the application process.
  • Helps maintain information about the university, academic program, learning paths, policies, and procedures, in order to answer questions and refer appropriately.
  • Under the direction of the DLEM, designs, creates and maintains forms, reference materials, data tracking, databases, and training manuals for the department.
  • Collaborates with the Success Advising (SA) team and other departments to ensure fast application review, quality decision making, and consistency aligned with University’s expectations.
  • Other duties as assigned by the Director.

Qualifications

  • A college or university degree from an accredited institution, especially online
  • High attention to speed in processing and evaluating learner enrollment files
  • High attention to detail
  • Experience working in a college or university admission or registrar environment
  • Understanding of higher education policies and procedures in the US, a definite advantage
  • Experience using a Customer Relationship Management (CRM) system such as Salesforce and a Student Information System (SiS) such as Banner
  • Experience with a wide range of office and administrative responsibilities
  • Skilled with general technology problem solving and troubleshooting procedures
  • Experience creating and maintaining forms, documents, and procedures
  • Highly experienced with Microsoft Office Suite and Google Suite products
  • Ability to write, speak and read a language other than English
  • Excellent organizational skills; ability to multi-task and be a self-starter
  • Excellent record keeping and general office management skills in a fast paced environment where speed and accuracy are primary measurements of success
  • Demonstrated ability to navigate and maintain databases and procedures for enrollment processes
  • Understanding of rules and regulations from various external and internal sources in a highly regulated industry
  • Awareness and sensitivity to diverse populations
  • Effective verbal and written communication skills via email, team collaboration tools (e.g. Google Docs, Slack), telephone, and video conferencing are necessary for success in this position
  • Demonstrated success in process planning and managing workflows
  • Ability to adapt and change easily in a very fast paced department
  • Willing to work on shifting schedule (Night, Mid, Early morning shifts)
