GENERAL RESPONSIBILITIES:
- Responsible in the overall organization and maintenance of all sites
- Work and coordinate with Procurement team on the Facilities and Admin requirement in sourcing 3rd party vendors
- Consolidates utilities and consumption reports of all sites:
- Light & Power
- Water
- Seat lease
- Ensure site compliance to the standards set by PEZA, BFP and LGU requirement
- Space and Seat Management
- Ensures implementation of maintenance and repair programs of all company-owned and leased physical assets and equipment; 52-week calendar must be strictly followed.
- Air-conditioning units, drain lines, valves and other related equipment and parts
- Utilities and plumbing
- Office and system furniture
- Pest Control
- Carpet cleaning
- Other programs
- Supervises and coordinates work of contractors
- Assist in Office Expansion Project
- Supervise major and minor renovation and coordination with contractors, building admin personnel, and other departments/accounts.
- Investigates ability and suitability of options for new purchases
- Coordinates and liaise with the building property management team
- Liaises with tenants of commercial properties
- Direct and plan essential central services such as security, maintenance, cleaning, waste disposal and recycling.
- Oversees Security Personnel
- Inspection of approved work by staff or contractors if it has been completed satisfactorily and following up of deficiencies.
- Supports company day to day operational needs as requested by internal customers
- Responds appropriately to emergencies or urgent issues as they arise
- Ensure a healthy and safe working environment within the site
- Conducts monthly evaluation and inventors of Site assets
- Visit all HGS OSS sites within the week to ensure upkeep and maintenance are done
- Assist in the budget, CAPEX and OPEX
- Act as a key contact during emergencies and ensure the safety and well-being of employees
- May be assigned as Pollution Control Officer based on the Department of Environmental and Natural Resources guidelines (DENR)
- Functions as the Safety Officer and/or member of the Site Health and Safety Committee
- Provides general support for the site and ensures that all requests are addressed in accordance with company directives and policies
- Serve as a point of contact between different departments and senior management
- Acts as second in command to the manager
- Coaches, mentors, develops and motivates team members and takes corrective action when needed. Fairly appraises staff performance against set performance standards.
- Performs other related task assigned by the Facilities and Administration Manager
Qualifications:
- Bachelor's degree in Facilities Management, Engineering, Business Administration, or a related field.
- Minimum of 3-5 years of experience in facilities management, preferably in a BPO or similar environment.
Skills:
- Certified Safety Officer
- Knowledge of building systems, maintenance, and safety regulations.
- Ability to handle emergencies and work under pressure
- Proficiency in budgeting and cost control.
- Strong leadership and team management skills.
- Excellent communication and interpersonal abilities.
- Proficiency in MS Office and facilities management software.
