A QCS Assistant facilitate the administration of the quality, compliance and sustainability functions, collate and verify documentation, and update all systems & trackers as required.
Responsibilities
QCS Administration
Create documentation for QC inspection bookings
Update internal systems (e.g. SAP and Monday.com) as required
Create QC bookings as needed
Prepare and review quality documentation for suppliers (inspection reports, assembly instructions, carton markings, barcodes etc.)
Handle administration of QCS trackers as needed
Assist with inventory and order request of spare parts as needed
Review all timber compliance documents prior to submitting for review
Capture, record and audit all packaging data from suppliers
Quality Improvement (Administration)
Collate photo’s of ‘What Good Looks Like’ and ‘What Bad Looks Like’ from QC inspection reports / customer cases for quality improvement purposes
Update / input data to QIMA dashboard
Collate and distribute reports and photos of product damages to relevant team members, each month, as required
List key quality issues identified from each inspection report so that they can be addressed during the next inspection
Audit quality improvements (i.e. check that requested changes have been implemented)
Make changes to product display pages as needed
Conduct data analysis on NPS detractors each month to assist in the development of corrective actions
Stakeholder liaison
Liaise with key stakeholders (buyers and suppliers) to provide advice and solutions to our customers
Update backend notes for ongoing education and advice to the wider customer care team
Track product quality issues and flag consistent issues with stakeholders
Circulate weekly incident reports to stakeholders
Ensure we provide an exceptional customer experience with a swift response time
Qualifications
At least 2-3 years of experience in admin, quality or compliance assistant.
CRM system experience (SAP - preferred)
Good Excel skills
Strong organisational skills
High attention to detail
Great communication skills
Good multi-tasker
Works well in a team
