Transactions Assistant

The Transactions Assistant will work with our Resident Services team assisting on both HOA needs as well as accounts services collections tasks. This shared resource (Account services and HOA) will ensure daily transactions are being logged, corrected (if needed), and assist in keeping our team caught up. This role requires impeccable attention to detail, speed in learning new tools, and knowledge of accounting will be helpful.

Responsibilities

ACCOUNT SERVICES TEAM NEEDS:

  • Ensuring invoices are balanced
  • Adding credits for leasing concessions
  • Responding to invoice requests for credits and billing
  • Ensuring invoices are balanced
  • Assist in managing the email inbox regarding invoicing adjustments

AIRTABLE & DS MANAGE (Internal tools Picket uses)

  • Adding new move-ins to Airtable on a daily basis
  • Adding new portfolios to Airtable
  • Recording payments in Airtable
  • Ensuring correct invoices are due in DS Manage

HOA TEAM NEEDS:

  • Assist in managing HOA email inbox and catching up on pending backlog of emails
  • Identify junk versus non-junk communication
  • Archiving “junk” messages
  • Taking necessary action on non-junk emails
  • Setup autopay on HOA accounts
  • Confirm accounts are current and in good standing.
  • Halt autopay on accounts with credit balances and set reminders for reestablishing autopay once credit has been exhausted
  • Communicate with accounts payable department where autopay is not an option and ensure checks are sent instead
  • Execute manual payments
  • Log payments and/or upload payment receipts and communicate location of payment records with accounts payable team

Qualifications

  • Experience with property management is a plus
  • Superb accuracy and attention to detail
  • Experience working within a Customer Relationship Management System (CRM)
